Finance and Administration Specialist
The ICRC office in Poland is opening a full-time position for a Finance and Administration Specialist,based in Warsaw.
The International Committee of the Red Cross is an impartial, neutral and independent organization whose exclusively humanitarian mission is to protect the lives and dignity of victims of armed conflict and other situations of violence and to provide them with assistance. The ICRC office in Poland contributes to the ICRC regional response to the international armed conflict in Ukraine, supporting the work of the Polish Red Cross, helping reunite families separated by the conflict, and strengthening respect for humanitarian principles.

Purpose of the position
Finance & Administration Specialist is accountable for the integrity of financial and analytical accounting and reporting. S/he oversees all financial resources and administrative activities, such as management of premises and staff travel, in Warsaw office.
Main duties and responsibilities
- Is in charge of accounts of Warsaw office (cash flow, bank payments, cash hours, recording of accounting entries, reconciliation of account balances, monthly closing of accounting files, etc);
- May be requested to contribute to preparing annual budget/monthly forecast and risk reporting, cost control and analysis of budget deviations; provide updates to the Management and Program Responsible.
- Regularly assesses the financial situation, including office’s treasury.
- Ensures compliance with statutory reporting requirements (taxes, social security, etc).
- Acts as adviser and coach on all financial or economic matters for the other departments.
- Contributes to drawing up contingency measures to respond to critical changes in Poland; contributes to Risk Assessment, focusing on real estate and finance; implements risk mitigation measures.
- Implements financial and administrative guidelines in the office, ensures they are strictly applied to comply with ethical standards and to mitigate financial risks.
- Acts as co-signatory and finance interface for local authorities and commercial parties (suppliers, banks, etc).
- Provides reliable expenditure forecasts and budget data to Management.
- Organizes day-to-day maintenance of offices and residences; maintains appropriate passive security measures for all premises, including safe accommodation of expatriate staff.
- Analyses the local market and proposes premises for rent, negotiates and concludes contracts.
- Promotes measures to reduce environmental impact (energy consumption, waste management, etc) in coordination with Sustainability team at HQ.
- Supervises the Welcome Officer (travel organization).
Qualification and experience required:
- University degree in business administration, finance, accounting, hospitality management
- 3 years’ experience in the same field of business,
- Languages required: Fluent Polish and English,
- Computer proficiency,
- Good negotiation, time management, interpersonal skills,
- People management skills.

- Type of contract: Temporary contract for 1 year with temporary workforce agency, with possibility to renew or change to open ended contract after a year.
