The International Committee of the Red Cross (ICRC) is an impartial, neutral and independent organisation with the exclusively humanitarian mission to protect the lives and dignity of victims of war and other forms of violence and provide them with assistance. The ICRC's Regional Delegation in Nairobi is a hub that co-ordinates the institution's humanitarian activities in Kenya, Tanzania and Djibouti and hosts the organizations’ regional logistics, technical and training support units serving the Horn and Great Lakes Region.
Overall Responsibility
Head of Maintenance is responsible for the supervision of the residence, facility team and outsourced service providers who are tasked to in undertaking general maintenance repairs, preventive maintenance, and residence preventive maintenance projects.
Tasks and responsibilities
- Supervision of the outsourced 3rd party service providers/contract services;
- Assist the Facility manager in the development of maintenance procedures and schedules;
- Enforce the maintenance of standard operating procedure adherence on both the staff and outsourced service providers;
- Ensure full preventive maintenance is carried out in the facility and residence as per the plan;
- Provide weekly maintenance reports for the facility and residence;
- Enforce the implementation of the maintenance work plan;
- Liase with the Head of premises in implementation of residence projects;
- Report to the Facility manager of any irregularities or dysfunction;
- Create and monitor a maintenance log for all the outsourced services;
- Assist the Facility manager to create the terms of reference for the services during the service provider sourcing process;
- Assist the Facility manager in the creation and implementation of service provider performance monitoring tool;
- Organize for performance review meetings with the service providers;
- Assist the Facility manager in the Monitoring of the preventive maintenance schedule for the outsourced services;
- Receives, query and counterchecks all the materials/ parts that are required during preventive and corrective maintenance by the service provider;
- Maintain a high level of communication/dialogue with the maintenance team;
- Assist the Facility manager to Draft procedures, guidelines and good practices aiming to strengthen the efficiency of the Maintenance Department;
- Propose ideas and innovative solutions aiming to maintain the efficiency level of the Maintenance Department as high as possible read interpret designs, drawings, bills of quantities (estimates & costing) and works progress schedules for all civil works as requested;
- Ensure all the residence renovation Projects are managed well and reaper monthly reports as well on the costs implications and deadlines on what has been done and status;
- Ensures inspections are carried out on the systems as part of the daily inspections so that issues are captured as early as possible;
- Conduct daily weekly briefing and discuss work schedule for the week and report to Facility manager;
- Follow up on the residence task together with the deputy head of maintenance to make sure the tasks are done on time and updates sent on time;
- Participates in the residence inspection together with Deputy head of maintenance during the handing and taking over of residences;
- Ensures proper preventive maintenance is carried out at the residence including having the inspection checklist/ report, proper estimation of the materials required is done;
- Ensure the inhouse and outsourced maintenance schedules are followed and monitored through the maintenance software.
Minimum Requirements and competencies
- University degree in estate management, construction management, civil engineering, mechanical engineering or its equivalent;
- Minimum 5 years of professional working experience in a similar field experience;
- Strong ability to anticipate, schedule, monitor and control tasks;
- Excellent knowledge of different categories of Maintenance duties;
- Extensive technical knowledge of mechanical and electrical building systems such as heating, ventilation and air conditioning, lifts, pumps, water systems, waste treatment plants, fire alarm system and access control systems;
- Excellent analytical and problem-solving skills;
- Ability to plan maintenance schedules for inhouse and outsourced services;
- Excellent supervisory skills.
