As part of the Administration Department, the Administrative Assistant acts as the receptionist and cashier, and provides support in the implementation of information management (IM) projects. S/he also provides general secretarial and administrative support.
MAIN TASKS
· Welcomes visitors, provides them with information, and directs them to the appropriate staff member
· Manages incoming and outgoing documents
· Handles cash disbursements and bills
· Supports in the implementation of all IM projects and programs, particularly Microsoft SharePoint and other ICRC standard tools
· Assists employees in managing different files and ensures access to the right information in the system
· Prepares official letters, internal presentations, minutes of the meetings and other documents, and ensures compliance with ICRC’s visual identity
· Provides administrative / secretarial services **
REQUIRED PROFILE
A successful candidate will have:
· University degree in Business Administration or a related field
· 2 years’ minimum work experience in the same or related capacity
· Good command in written and spoken English and Filipino
· Capacity to deal with public visitors and address phone calls
· Strong organizational skills and the ability to prioritize tasks
· Ability to treat information confidentially
· Great team spirit and flexibility
· Positive attitude and service-oriented outlook
· Ability to work independently with minimal supervision
· Aptitude to work well under pressure and adapt to sudden change of priorities
As an asset, a successful candidate may have:
· Prior working experience with international humanitarian organizations
· Technical proficiency in MS Outlook, SharePoint, and IBM Notes
· Capacity to work in a multi-cultural environment
