A. CONTEXT
Established in 1863, the ICRC operates worldwide, helping people affected by conflict and armed violence and promoting the laws that protect victims of war. An independent and neutral organization, its mandate stems essentially from the Geneva Conventions of 1949. We are based in Geneva, Switzerland, and employ some 16,000 people in more than 80 countries. The ICRC is funded mainly by voluntary donations from governments and from National Red Cross and Red Crescent Societies.
In Iran, the ICRC promotes IHL and works with the authorities in Iran and Iraq to address the consequences of the 1980-1988 Iran-Iraq war, particularly the issue of missing persons. We work with the Iranian Red Crescent and maintain a logistics capacity to support ICRC operations in the region.
We are looking for a creative, multi-skilled and energetic welcome supervisor to join our administration team. The post holder will work with the Finance and Administration Manager (F&A Manager) to assist the structure in implementing different activities of the Administration Department in accordance with objectives in Iran.
B. JOB DESCRIPTION AND KEY RESPONSIBILITIES
Coordinates in a timely manner the activities of the Welcome Department, ensuring that Welcome arrangements including pick up/drop off of ICRC staff and guests, travel arrangements, visa and permits, and accommodation are well organized
Supervises organization of seminars, meetings, workshops in coordination with requesting Department
Manages and oversees the work of the Welcome/Event Officer
Ensures proper coordination among departments specially with Logistics for proper logistical support
Negotiates and drafts contracts with travel agencies, airlines, hotel or other providers in coordination with Logistics and F&A Manager
Monitors expenditures and realises benchmark seeking the best ratio quality/price for travel expenses
Manages and keeps track of movements (Welcome DB)
Negotiates with service providers and maintains contact with them
The employee may be asked to perform other duties not covered in this job description as well as to provide support to other departments when and if necessary.
It should be noted that the position might require travelling (on mission) inside the country.
C. PROFESSIONAL EXPERINCE AND EDUCATION REQUIRED
University degree or advanced technical certificate
Fluent spoken and written in Farsi, and English
Computer proficiency and ability on software
4 years’ experience in the same field of activity
Good analytical skills, able to work towards tight deadlines;
Previous working experience with international or local humanitarian organizations is an asset.
