What we do
The International Committee of the Red Cross (ICRC) works worldwide to provide humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and at the same time promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.
Role Description
Main responsibilities
Your role is to provide the necessary administrative support to the smooth running of an operational delegation in the field, using your expertise in the areas of organization and information management and your command of computer tools as well as your ability to share your knowledge.
In this team support function, you will be:
Responsible for information management in the delegation and sub-sites. Propose suitable measures for the flow and sharing of information and documents, making use of the tools available.
Reference person for the following: ICRC protocol, rules for correspondence, document security, filing and intermediary archiving and how to use standard computer technology. Ensure compliance with the rules of visual identity in external presentations, letterheads, etc. Ensure that all users understand the need for and apply ICRC related policy and procedures. Trains and support users on above mentioned topics.
Moreover, you will
Support themanagement team of the delegation, ensuring a coordinated and consistent work flow. You will be responsible for the general secretarial work of the management and will, amongst others tasks : distribute and manage paper and electronic mail, autonomously send answer or draft responses according to the institutional protocol, ensure filling, manage with precision the agendas, organise and prepare meetings, take minutes of meeting, keeps various databases and lists updated.
May have to train, supervise and support a small team.
Desired profile and skills
- Fluent in French and one of the following languages English and Spanish
- post-secondary diploma or equivalent qualification.
- Recognized training in assistantship, an asset
- 3 years’ work experience in a similar function
- very good computer skills (pack office 2013 and Lotus Notes)
- solid humanitarian motivation
- open mindedness and capacity to adapt
- sense of responsibilities and organisation
- interest for information management
- ability to work within a team and under pressure in difficult security contexts
Our operational & field constraints
- In line with the principle of neutrality, the ICRC does not assign personnel to a country of which they are nationals
- Candidates must be in good health and will have to do a medical check-up prior to departure in the field
- Candidates must possess a driving licence (for manual transmission vehicles)
- Candidates must be prepared to accept unaccompanied postings (i.e. no spouse, partner, children or dependents) for at least the first 24 months
