The Assistant and Information Management Officer provides administrative support and is responsible for information management for the Manila site, under the supervision of the Assistant and Information Management Officer (IM Focal Person) of the Delegation. The main objective of the incumbent is to strengthen the IM accompaniment in the Manila delegation.
MAIN RESPONSIBILITIES
Information Management
- Focuses on providing improved IM services: IM troubleshooting, monitoring, and correcting the use of digital archiving, briefing and training the users, to name a few
- Makes an active contribution in implementing all information management projects or programs (particularly Microsoft SharePoint/Team Space, Lotus Notes, Access Management and other ICRC standard tools);
- Organizes and manages the information flow (internal & external), in line with the needs of the delegation and technological evolutions;
- Organizes, supervises, and manages the use of a range of collaborative tools and databases;
- Updates general information in the reference tools (databases or others);
- Act as access manager for Manila;
- Drafts, reviews, compiles, edits and finalizes correspondence, presentations, decision-making documents, meeting minutes; and other documents;
- Propose suitable measures for the flow and sharing of information and documents, making use of the tools available;
- Relays IM-related information to staff in Manila site and monitors that best practices of information management are shared, understood and implemented.
Training and Support - Areas of Expertise
- Supports all Manila-based users on information management and the above-mentioned subjects, ensuring compliance with rules and procedures
- Supports in the briefings to all new staff on information management and in the organization of training or information sessions
- Makes sure that staff in Manila site know and apply ICRC rules regarding correspondence and ICRC protocol; proposes solutions in cases of contradiction between the rules and local practices
- Ensures that all correspondence concerned by these rules that leave the delegation is validated by the qualified person; knows the rules regarding signatures and ensures that these rules are applied by the staff in the delegation
REQUIRED PROFILE
- Three to five years of professional experience as an assistant in an international organization or company is preferred
- University degree, specialized diploma in information management, information security, archival science, librarianship or an equivalent qualification
- Proficient in the use of MS Office and information management tools
- Commitment to the ICRC's humanitarian mandate
- Excellent written and oral communication skills in English
- Good problem-solving and prioritization skills, keen attention to detail
- Ability to work within a team and under pressure
