Process Team Leader

Job Purpose

S/he ensures that the process team’s outputs meet the standards and requirements set out in the SLAs. S/he is responsible for effective resource management, capacity planning and people management within the team in order to maintain consistent quality service delivery to customers.

Relationships

  • Internally, interacts with different units in HQ, Field, Risk & Assurance units where necessary.

Main Responsibilities:

  • Maintains a deep understanding of the assigned process considered to be medium to high in complexity, its structure and related controls
  • Ensures proper distribution of workload within the team
  • Monitors progress of deliverables and immediately escalates impeding issues to the Internal Control Manager
  • Ensures that the team structure and procedures are streamlined, and staff members’ skills are utilized effectively towards the goals of the unit
  • Reviews the team members’ findings and feedbacks before issuance to the control process owners
  • Is responsible for people management activities (e.g., onboarding/offboarding, performance, staff development, training, absences, overtime, time reporting)
  • Is responsible for supervising, coaching and mentoring the Internal Control Reviewers 1 or 2
  • Assists in other operational tasks as necessary to ensure timely delivery of outputs
  • Acts as focal point for technical queries from control process owners related to the results of testing activities
  • Prepares relevant data on the results of testing activities for stakeholders through reports or dashboards
  • Escalates significant findings to the Internal Control Specialists (non-delegation specific) and the Region Coordinators (delegation specific) for further analysis and/or action
  • Participates in functional groups that aim to achieve objectives of the unit aligned to its strategies
  • Participates actively in regular process reviews and provides significant feedback and/or recommendations to improve the quality and efficiency of work delivered by the unit
  • Facilitates continuous improvement reflections as well as identification and implementation of solutions within the team
  • Completes relevant trainings determined necessary for the role
  • Manages the collection of audit-related requirements within the team

PEOPLE MANAGEMENT RESPONSIBILITIES

  • Understands and supervises the Performance Management & Development (PMD) activities for employees under their supervision
  • Makes sure that deadlines for the PMD cycle are met
  • Engages in ongoing and continuous feedback and support, particularly for employees under their supervision, but also other staff members
  • Organizes regular meetings within their team to ensure optimal coordination of the work and proper flow of information
  • Ensures that job descriptions for employees under their supervision are up to date; seeks feedback and support from the HR Department if needed
  • Plans and coordinates the annual leave of the employees under their supervision ensuring continuity of the operations throughout the year and making sure that there are no outstanding holiday balances at the end of the year
  • Coordinates and supports the employees under their supervision in their personal development by coaching and advising them on internal and external training and development possibilities

ADDITIONAL DUTIES

  • May be deployed to the field to assume complex responsibilities or in challenging field mission (potential for RDU)
  • May be deployed to the field or HQ for support mission
  • May provide support to other process teams as necessary
  • Follows up on all work-related messages and correspondence with the relevant contacts and departments
  • Is aware of the delegation’s objectives and has a good knowledge of the Movement and other contacts relevant to the position
  • Collects and shares information so as to improve the ICRC’s understanding of the environment and humanitarian trends and responses
  • Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity that may reflect negatively on the ICRC’s image
  • Takes responsibility for their own professional learning and development

Selection Requirements:

  • Bachelor’s degree in Accountancy/Finance or equivalent
  • Have at least 5 years’ experience working in audit (internal audit is a plus)
  • Certified in Internal or external audit
  • Preferably with experience of auditing Human Resource Processes
  • Have at least 1 year experience on leading a team
  • Experience on Computer-assisted audit techniques (CAATs) an advantage
  • Very good computer skills
  • Exemplary analytical skills
  • Rigorous and trustworthy
  • Good command of written and spoken English
  • Knowledge of foreign language is a plus (French, Arabic and others)
