Under the direct supervision of the RFL Delegate, the RFL Admin Assistant supports in the implementation of ICRC Protection of Family Links (PFL) activities in his/her area of responsibility (AoR) in close collaboration with the RFL and Missing Field Officers in ICRC Yola Sub-Delegation and Mubi Office. S/he is mainly in charge of all administrative tasks allowing the PFL team to operate properly and field work to be planned and conducted effectively. S/he can thus be asked to travel to Mubi or Biu ICRC offices for administrative support, or other area of the AoR. S/he is also in charge of receiving visits and phone enquiries from the beneficiaries and responding to them, following cases with enquirers and supporting the team in field work, when needed.
Supports the RFL Field Officers and Delegate by preparing working lists (WL) and analysing the individual files as well as by analysing the RFL caseload, preparing the follow ups to be carried out through WL or follow up forms.
Participates to RFL and Missing activities in the field, including to field trips of several days, when needed.
Conducts field visits to camps to offer phone antenna service and compiles statistics on this activity
Interacts with beneficiaries visiting or calling the Sub-Delegation and responds to their RFL-related enquiries and documents cases; keeps records of the enquiries received and produces visual statistics.
Acts as an information-management focal point, ensures the team comply with procedures;
Drafts and finalizes correspondence, bordereaux, donation certificates, internal presentations, meeting minutes and other documents; shares information among users; ensures all the administrative tasks for family reunifications are done within the timeframe defined
Raises Requisition Orders to purchase the items needed for field activities.
Sends transport and field trip requests.
Compiles documents for the payment of NRCS volunteers and sends them to Abuja for process.
Helps in the collection and finalization of supporting documents to settle Working Advances.
Is responsible to open, treat and distribute, prepare and send incoming and outgoing correspondence.
Supports in the filing related to the Office
Education and Experience Required
University degree or specialized training;
2 years of work experience in humanitarian work;
Very good command of written and spoken English and Hausa; Kanuri and French is an asset;
Very good computer skills, in particular with Excel, Word, if possible, PowerPoint;
Good knowledge of Nigerian geography
