The Recruitment Team identifies and selects the best talented individuals in response to the current and future needs of the organization, thus ensuring the continued effectiveness of ICRC humanitarian action. It offers a high quality and engaging service to candidates and line managers, so that they will be our best ambassadors, thereby safeguarding the ICRC’s reputation. It provides and disseminates its expertise in terms of "best practices" to internal and external customers, using the best tools available. The team listens to the market and adapts to changes in the world and in technology. It also contributes actively to the ICRC’s communication and promotion strategy to build interest with our future talent pool.

The Human Resources Recruitment administrator is responsible for assisting recruiters and the units concerned in all tasks involving the recruitment of ICRC staff and in the management and administrative monitoring of the entire recruitment cycle.

Main Responsibilities:

  • Support the Recruitment Operations team in keeping the HR Space info and data accurate
  • Take on specific system responsibilities as assigned, initially focusing on high volume of data transfer and input into HR Space from VSM, of active candidate profile currently in the recruitment process and those hired but not deployed in the métier pools
  • Publish job advertisements on Intranet
  • Support the recruitment team to organize interviews between candidates and recruiters but also between candidates and “Métier” experts (pool managers and / or technical experts) when possible in terms of deadline

  • Coordination of agenda and availabilities

  • Direct contact with candidates

  • Send confirmation messages

  • Meeting requests in participants’ calendar

  • Support the recruiters seated in National Societies to organize interviews between candidates, “Métier” experts and themselves when possible and appropriate

  • Collect documents from candidates

  • Review documents received from candidate against information of the resume. In case of documents missing or mistake, contact the candidates to complete the candidate’s file

  • Compile all documents in a single pdf version once the candidate’s file is completed and make it available to the recruitment operations team and to appropriate pool manager(s)

  • Double check and validate information filled by the candidates in the system such as contractual and residence addresses, passport data, language tests’ results as needed

  • Liaise with resident staff when they have been accepted for a mobile position by the pool manager to complete his /her profile in HR Space in terms of documents and relevant data

  • Liaise with successful candidates for traineeship positions to collect their documents and double check the information filled in HR Space

  • Manage the internal mailbox dedicated to internal language tests’ requests (Rec Test): receive and acknowledge receipt of the request, register staff for languages tests in the ALTA system, inform the requester about the result, register the results in HR Space, fill in the appropriate table for the internal invoicing ventilation

Requirements:

  • Bachelor’s degree in HR/ business administration
  • At least three years of HR or administrative support experience, ideally in a recruitment unit
  • Proficiency in spoken and written English, French a strong asset, other languages ​​an asset
