The Administrative Assistant helps to ensure that travel-related activities are organized smoothly, including coordination of pick-up/drop-off of ICRC staff and guests, travel/training arrangements, and accommodation. S/He also acts as local ICT support, ensuring proximity service and carrying out basic ICT work.
MAIN TASKS
· Assists the Welcome Service Unit in all administrative tasks
· Coordinates transport pick-up and accommodation of staff and guests through cost effective means
· Maintains and updates all appropriate databases of staff members, missions and other travel, document validity, residences, and any other relevant information
· Organizes communication flow between ICRC offices, sub-delegations, delegations and/or headquarters regarding staff travel
· Serves as ICT relay for ICT related tasks
· Provides first to second level user support and troubleshooting to site computer users. Issues tickets, and escalates to the respective ICT in charge or to the service desk if needed
· Installs / reinstalls / maintains ICT equipment (computers, printers, NAS drives etc) independently, or in consultation with Manila ICT
· Controls access to the server room and conducts regular or on demand inspection to check equipment and room status
· Manages ICT pool equipment releasing and inventory
REQUIRED PROFILE
A successful candidate will have:
· University degree in management or equivalent
· At least two (2) years’ experience in a similar function
· Good command of communication skills in English, Filipino, and other local dialects
· Good computer skills
· Ability to work independently
· High flexibility/adaptability
· Strong organizational skills with the ability to multi-task
As an advantage, successful candidate may have:
· Prior experience in a similar function with an international humanitarian organization
· Related experience in hotels or travel agencies
