The International Committee of the Red Cross (ICRC) is a Geneva-based humanitarian organization that protects and assists victims of armed conflicts and other situations of violence without discrimination. It has been providing humanitarian aid in the Philippines for more than 70 years, with a permanent presence since 1982. The ICRC works closely with the Philippine Red Cross, its primary partner in the country.

Join the Finance and Administration team of an international humanitarian organization. The ICRC Mindanao sub-delegation is looking for:

Administrative Assistant

(Receptionist / Travel Assistant / Cashier)

(Based in Cotabato City)

The Assistant will perform a variety of administrative and clerical tasks, such as assisting staff in daily office needs and ensures the efficient and smooth day-to-day operations of the office. He/she also organizes all travel related arrangements for staff on mission, including seminars and meetings within the area of responsibility. He/she is accountable for the physical processing of cash transactions and the integrity of physical cash balances in Cotabato sub-delegation, strictly respecting and applying ICRC's rules and financial management procedures.

MAIN TASKS

  • Manages the front desk and performs a variety of administrative and clerical tasks

  • Welcomes visitors, provides them with information, and directs them to the appropriate staff member

  • Updates databases to reflect current and accurate contacts list, addresses, etc.

  • Answers and redirects incoming calls and responds to callers’ queries

  • Ensures good customer service for the concerned file

  • Helps organize staff travel according to the most effective costs / means, and if required, coordinates drop-off / pick-up

  • Organizes welcome files, business cards, briefing programs, and tours of the sub-delegation for newly arrived staff

  • Organizes logistics for events / meetings / seminars and coordinates with parties concerned

  • Handles the sub-delegation’s cash disbursements and payment

  • Prepares invoices for payment (by cash, check, bank transfer)

  • Carries out daily cash count and reconciliation

  • Ensures respect for financial procedures and guidelines and explains it to clients

  • Assists with administrative and HR tasks if needed

REQUIRED PROFILE

A successful candidate should have:

  • At least two (2) years’ experience in a similar function

  • University degree in business and accounting or equivalent

  • Good command of written and spoken English and Filipino; other dialect/s is an advantage

  • Proficiency in Microsoft Office

  • Capacity to work autonomously but in close coordination with the direct supervisor

  • High flexibility/adaptability

  • Strong organizational skills with the ability to multi-task and prioritize tasks

  • Ability to build positive relationships with high level of interpersonal skills

A successful candidate may have:

  • Experience in a similar function with an NGO/INGO

  • Related experience in hotels or travel agencies.
